1 Client Introduction

Accerta is a medium-sized enterprise in Canada specializing in operationalizing and administrating government social outreach programs. Work at Accerta primarily revolves around dental claims processing, as well as enrollments into federal, provincial, and municipal programs.


2 Process Background

With total form processing volumes averaging 50K cases per month (80K pages per month) and forecasting growth, Accerta set out to digitize and automate three dental insurance workstreams within their business: Claims, Enrollments and Seniors Applications. Of the forms processed each month, approximately 50% are received via fax and the other 50% via mailed hard copy. The dual nature of receipt precluded Accerta from maintaining a single, consolidated client archive.

The scope of the project had three main objectives:
o Establish a digital transformation process along with long term archival capability
o Automate the input of extracted data into downstream systems
o Deploy a workflow platform for Accerta resources that would facilitate the remediation of exception cases

3 Automated Solution

To address this challenge, the Reveal Group team implemented a solution leveraging HyperScience, Blue Prism, and SharePoint (see Figure 1.1). Using Blue Prism as the orchestration and downstream system input, the process leveraged HyperScience to digitize, classify and extract information from incoming documents and SharePoint as a workflow platform for archival and exception remediation. Work on the project began in November of 2020 and the entire solution was deployed to Production in March of 2021.

4 Realized Benefits

Based on 2021 Q2 data, the solution is forecast to automate ~60% of the end-to-end forms processing capability. In addition, the average case processing times have been reduced by ~73% significantly reducing the client experience.

Automation has also eliminated rework with accurate data extraction, provided operational insights with digitalized process metrics and volumes as well as enabled archiving of client records via SharePoint (see Figure 1.2).
