The primary goal of this initiative was to create predictive metrics that would allow our teams to identify potential issues, such as; services request cycle time increase and workload change and based on this, mitigate the risks associated with these changes rather than be reactive.

The scope of the initiative was around building a forecast of the timing and the volume of requests so to understand the trend at Market level and to identify the pain-points both at GEO, Market and Team level. Forecasted data are extremely useful with the management of the activities, especially if, as in this case, the model gives back not only a prediction, but also a prescriptive analysis of the possible causes and the actions to do to avoid negative impacts on the metrics and consequently, on the performances.

Since its 1st Iteration, following the Agile methodology, using specific calculations of the open backlog and the Market behaviour the users have been able to predict, with high accuracy, what will be the expected Cycle Time along the following Quarters. It is used as part of our metrics toolkit and allows to anticipate Cycle Time and workload peaks and see if there are any actions to mitigate this before happening and affecting the whole geography Cycle Time.

Currently, the Data Analyst (DA) Team delivers a weekly report that contains insights on; Current Backlog Generation Ratio (that is an immediate indicator that an action must be taken if ratio is bigger than the predicted upper bound) that includes a summary of Backlog Percentage of Closed Requests in Current Month out of total requests plus analysis on Cancelled Requests in Current Month out of total requests and Open Requests in Current Month out of total requests. The Top 5 Relevant Aging Requests, that is a list of the most aged request details and aging days with the request owner and Request Type details so to allow the users to take instant action to sort them out; a Prescriptive Analysis called Anomaly Report, where all the requests with an abnormal behavior are highlighted; and a Cycle Time Prediction for all the Markets plus a prediction at the geography level.

Thanks to this prediction model and the report deployed by the DA Team, our organization is now able to anticipate deterioration in our metrics and to build a plan to mitigate its impact before it happens, allowing our Teams to act in time.

Every forecast is a lesson. Once the lesson is learned and you have the knowledge of why metrics are following a specific trend, you can help your business to proceed in the right direction and constantly improve through the further prescriptive analysis provided, because knowing what will be the trend of this metric in the next future, will give us the opportunity to beat the prediction and improve our performances.
