Cognizant's 2020 AWARD FINALIST CASE STUDY : Best Achievement in Technology Enabled Process Automation.

Our Client is a Global Biopharmaceutical company with focus and capabilities to address some of the world’s greatest health challenges. As a part of its Global Pharmacovigilance program, client team is responsible to monitor the safety of its products used in everyday practice or clinical studies by collecting, assessing and processing adverse event reports for its products.

Cognizant is one of the preferred vendors. The client was looking forward to start their automation journey and was looking for Pilot use cases. Cognizant conducted a detailed automation assessment and proposed a roadmap for automation to the client.

Based on one of the key pain areas we proposed the Duplicate Case & Case Initiation for picking up as a pilot automation project to initiate their journey in the automation space.

Thus RPA based automation was deployed within a period of 6 months – Oct 2018 to Mar 2019, this project followed the complete automation development lifecycle collaboratively with the clients. Cognizant helped the client team with event detection, assessment, and reporting the adverse event to the regulatory bodies.

Need for Automation

  • There are multiple sources of receiving adverse event information, which could result in case duplication or the case could be follow-up of related incident already reported in the past.
  • As part of case initiation, Cognizant operation team needs to check for duplicate cases, case level seriousness & transmit the case to AEGIS for processing.
  • This step is extremely critical to ensure that only Valid Cases entre the AEGIS database as it directly impact
    • Over- reporting or under reporting of cases
    • Finally impacting patient safety
  • Process challenges :
    • The process involves repetitive rule based task which is manual intensive and completely non-judgmental
    • Manual intervention also causes human errors and accuracy issues
    • Missed duplicate checks during manual process
    • High volume of ~28000 cases per month
    • This entire assessment takes ~8 mins/case. The team receives ~28000 online/Flexi XML cases / month for processing.
  • The client want to start their automation journey and Duplicate check & Case initiation automation was an easy start with high ROI.

Solutions Implemented:

We conducted an end-to-end automation of the process in scope along with the IT / RPA team. 

  • Robotic process automation tool Blue Prism, which is the client-preferred tool and for which they hold IP leveraged to solution the process.
  • Complex codes broken into simpler modules and later integrated to create the end-to-end solution.
  • Work input from the backend reports provided per hour by the MIS team
  • BOT extracts data from AgExchange performs validity assessment, duplicate search, seriousness assessment & minimal data entry.
  • Generates hourly and EOD reports for case distribution and effective reconciliation of cases and ensures compliance of every case and thereby of the process.

1 master & 12 slave BOTs hosted in AbbVie environment to handle the volumes.
